About Us:
Fly-by-Wire Filmworks is a dynamic and creatively driven film post production company dedicated to telling bold and original stories. We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our lead producer and serve as a vital liaison between the production teams and the company’s internal operations.
Key Responsibilities:
Coordinate and schedule calls between Fly-by-Wire and active productionsOrganize and manage the producer’s weekly calendar
Schedule and facilitate internal meetings with Post Production Supervisors and the producer
Maintain accurate records of receipts and financial documents for annual tax preparation
Create and distribute invoices and timecards for staff and freelancers
Track and maintain an organized inventory of company assets and production equipment
Maintain and update internal spreadsheets related to budgeting, scheduling, and production tracking
Arrange domestic and international travel, accommodations, and itineraries
Qualifications:
Previous experience as an Executive Assistant, ideally in the film, entertainment, or creative industriesExceptional organizational and time-management skills
Ability to manage multiple tasks and prioritize in a fast-paced environment
Strong written and verbal communication skills
Proficiency with Google Workspace, Excel/Sheets, and basic accounting/invoicing tools
Familiarity with film production workflows is a plus
Discretion and confidentiality are a must
